The library currently maintains two small study rooms on the second floor for groups of 4 or less, our first floor Conference Room for groups of 20 or less, and an Events Room available for public meetings of a civic, educational, or cultural nature. These meetings must be free and open to the public and cannot be exclusively social gatherings (e.g., no birthday parties, family reunions).
Eligible Users
The primary purpose of the Events and Conference Rooms is for Library programs and activities coordinated by Library Staff, the Friends of the Library, or other organizations in partnership with the Library, or for Town sponsored meetings and events. Use of Meeting Rooms for Library or Town of Mashpee purposes shall take precedence over all other uses.
If the Events Room or Conference Room is not scheduled for a Library or Town program or activity, the room may be available for meetings by governmental, civic, cultural or educational agencies, groups, or organizations that have a substantial relationship with the Mashpee community.
The meeting rooms are not available for entrepreneurial, for profit, or commercial purposes, for solicitation of business, or for the purpose of attracting customers or clients, or for fundraising events other than those that support the Library.

Reservations
Meeting Room reservations may be made up to 60 days in advance, but should be requested at least 14 days before the date of use. Exceptions can be made only by the Library Director or their designee. Due to high demand for meeting room space, no group may consider the Library its permanent meeting place or use the Library as its mailing address. Reservations must be made through the library’s website. Reservations will not be considered or accepted via telephone or email without receipt of a completed application form and signature or acknowledgment of liability waiver.
Use of a Library Meeting Room is not granted until a confirmation of the application’s receipt and approval is received. Reservations shall be accepted, subject to the provisions of this policy, in the order received. Applicants must allow 7 business days for confirmation and approval of reservations, and plan meetings accordingly.
Conditions of Use: Please Note Before Submitting a Request
- All meetings shall be open and free of charge to the public. No admission charge, request for donation or items for sale are permitted.
- No goods or services shall be promoted, sold or exchanged upon the premises or by sample, pictures, or descriptions, except for those who receive prior approval by the Library Director which include the sale of sound recordings, videos, and books related to the programs of the performers, artists, and authors at Library sponsored programs in conjunction with the event.
- The Library reserves the right to preempt any scheduled meeting or program. The Library will make every effort to give advance notice of 48 hours for any such preemption.
- To provide community groups the opportunity for equal access to the meeting rooms, the Library may limit meetings for any particular organization during a calendar year to once per month. Additional meetings may be approved on a space available basis at the Library Director’s discretion.
- Meeting Rooms shall not be used for political campaigns, campaigning or rallies. Civic activities such as committee meetings, voter registration events, candidate forums, and incumbent office hours, are permitted.
- Meeting Rooms may not be used for private social gatherings such as showers, birthday parties, or family reunions.
- Meeting Rooms are available during Library operating hours to approved groups at no charge.
- Meeting Rooms are not available for use on Sundays, official Town of Mashpee holidays, or other designated dates.
- The Waiver of Liability must be completed and submitted and constitutes a waiver and release by the group and each of its members and invitees of any claim against the Board of Library Trustees, the Town of Mashpee, their respective officers, employees or agents, with respect to any injury to persons or damage to property suffered by such User or any of its members or invitees during or as a result of the use of the Meeting Room.
Online Booking
All meeting rooms must be reserved through the library’s website, and users must agree to the terms of use when booking.
Liability Waiver
A completed Town of Mashpee Liability Waiver must be submitted for your meeting room reservation to be complete. The Liability Waiver can be scanned and uploaded to your meeting room request application or dropped off at the library.
